How to See the Status of Every Email You Send
The Email Status tool helps you track all emails sent from Roof Chief and see whether they were successfully delivered to your customers.
Accessing Email Status
- Go to the History section in the navigation area
- Click Email Status
What Email Status Shows
The email status page displays:
- Recipient name - who the email was sent to
- Email address - the specific address used
- Delivery status - what happened to the email
- Date sent - when the email was sent
Understanding Delivery Status
Delivered - The email successfully reached the recipient's inbox Bounce - The email was not delivered, typically meaning:
- You have the wrong email address for the customer
- The email address no longer exists
- There's a problem with the recipient's email server
Why This Matters
Email status helps you avoid common communication problems:
- You might think a customer is ignoring your proposal when they actually never received it
- You can identify incorrect email addresses before they cause missed opportunities
- You can follow up appropriately when emails don't get delivered
Filtering Options
Use the filter buttons at the top to:
- View only delivered emails - see successful communications
- View only undelivered emails - identify problems that need attention
- See all outgoing messages sent by your team
Taking Action
When you see bounced emails, you should:
- Contact the customer by phone to get the correct email address
- Update their contact information in Roof Chief
- Resend important communications like contracts or proposals This tool provides valuable insight into your team's email communications and helps ensure important messages reach your customers.
